Procurement Specialist
Job Purpose
Execute procurement activities in accordance with the company's procurement policies and procedures to ensure the timely acquisition of goods, services, and materials at the required quality and best value. Manage sourcing and competitive bidding processes (RFX), build strong supplier relationships, optimize procurement spending, and ensure compliance with organizational policies and procurement best practices.
Key Responsibilities
- Receive and review purchase requests from internal departments to ensure completeness and accuracy.
- Prepare and manage Request for Information (RFI), Request for Proposal (RFP), and Request for Quotation (RFQ) documents.
- Collaborate with internal stakeholders to develop scopes of work, technical specifications, and evaluation criteria.
- Identify, evaluate, and onboard qualified suppliers while maintaining a robust supplier database.
- Manage sourcing events and competitive bidding processes from initiation through award.
- Analyze technical and commercial proposals, prepare bid evaluation reports, and provide procurement recommendations.
- Negotiate pricing, commercial terms, delivery schedules, and payment conditions with suppliers.
- Issue Purchase Orders (POs) and ensure approvals are obtained in accordance with the delegated authority matrix.
- Monitor purchase orders to ensure timely delivery of goods and services.
- Coordinate with requesting departments and warehouse teams to verify compliance with specifications and quality standards.
- Resolve procurement-related issues, including supplier performance, delivery delays, quality concerns, and contractual matters.
- Conduct periodic supplier performance evaluations and maintain supplier performance records.
- Prepare procurement reports, spend analysis, savings reports, and procurement KPIs.
- Ensure compliance with company procurement policies, procedures, and applicable regulations.
- Continuously identify opportunities to improve procurement processes, cost efficiency, and operational performance.
Qualifications
- Bachelor's degree in Business Administration, Supply Chain Management, Procurement, Engineering, Accounting, or a related field.
- Professional certifications are preferred, such as:
- CIPS
- CPSM
- CSCP
- CPP
Experience
- 2–5 years of experience in Procurement, Purchasing, or Supply Chain.
- Hands-on experience managing RFX processes (RFI, RFP, RFQ).
- Experience in supplier sourcing, competitive bidding, and contract negotiations.
- Experience with ERP systems is preferred.
Required Skills
- Strong knowledge of procurement principles, sourcing strategies, and purchasing processes.
- Experience in managing RFI, RFP, RFQ, tendering, and bid evaluation processes.
- Ability to analyze technical and commercial proposals and prepare evaluation reports.
- Strong negotiation and supplier relationship management skills.
- Knowledge of procurement contracts and supplier performance management.
- Excellent analytical and problem-solving abilities.
- Advanced proficiency in Microsoft Office, particularly Excel.
- Experience with ERP systems such as SAP, Oracle, or Microsoft Dynamics.
- Strong organizational and time management skills.
- Excellent written and verbal communication skills.
- Ability to manage multiple priorities and work under pressure.
- Good command of the English language.
